Changing Sponsor: When You Need a New D&A

Absolute Biomedical Health Guides

Moving between rail employers often means a Sentinel drug test change of sponsor question: do you need a fresh drug and alcohol screen, or does your last one still count? Absolute Biomedical’s published FAQ gives a clear rule of thumb. This post expands it for candidates and booking teams so diaries are not wasted and Sentinel expectations are met.

The Absolute Biomedical rule (as on site)

A new drug and alcohol screening is required to initially join the rail industry and begin working for a primary sponsor. From that point, you only need to complete a new screening if you wish to change primary sponsor and your last screening was over 12 weeks ago.

In plain terms:

  • New to rail / first primary sponsor → new D&A (usually with Level 1 medical).
  • Changing primary sponsor AND last D&A > 12 weeks ago → new D&A.
  • Changing primary sponsor AND last D&A ≤ 12 weeks ago → Absolute Biomedical’s FAQ implies a new screen is not required solely for that change — but always confirm with the new sponsor and current Sentinel / Network Rail process, because company policy can be stricter than the minimum.

Medical validity is a separate clock

Even if D&A is still within the 12-week change-of-sponsor window, your medical may be near expiry based on age bands (10 years / 5 years / annual). Do not assume “D&A OK” means “medical OK.” See Post 7.

What the new sponsor will usually ask

  • Date and outcome of last Network Rail D&A
  • Whether results are clear on Sentinel
  • Whether medical certificate is still in date for your age
  • Whether any random / for-cause / post-incident history needs discussion (employer-sensitive — handled via sponsor HR/OH)

Absolute Biomedical can provide the new collection and lab pathway when a fresh screen is needed — at Abercynon or on site.

Timeline planning when you are over 12 weeks

If your last screen is already past twelve weeks and a sponsor change is imminent:

1. Book D&A as soon as the new sponsor confirms the need.

2. Allow up to ~3 days for lab results (longer if MRO/review).

3. Do not schedule safety-critical start dates that ignore lab turnaround.

4. Declare all medication at collection.

5. Remember: a positive result carries a five-year Sentinel suspension per Absolute Biomedical’s site copy.

Random testing does not replace change-of-sponsor logic

Employers may still put you into random, for-cause or post-incident programmes after you join. Those are separate triggers arranged by the employer (Post 5). Passing a random next month does not rewrite the 12-week change-of-sponsor rule for a move you make later — each event has its own purpose.

Candidate script: what to ask your new sponsor

  • “Do you need a new D&A because my last screen was on [date]?”
  • “Do you need a new Level 1 medical as well, or is my medical still valid?”
  • “Should Absolute Biomedical (or another provider) book combined or D&A-only?”
  • “Who pays — me or the company?” (commercial; Absolute Biomedical will confirm process on booking — no prices in this draft)

For sponsors: avoiding double-booking

If the candidate’s last D&A was nine weeks ago, booking another “just in case” may be unnecessary cost and diary load — unless your company policy always requires a fresh screen on induction. Document the policy, then book Absolute Biomedical only when the policy or the 12-week rule requires it. Post 10 covers a fuller employer booking checklist.

Frequently asked questions

Does changing depot or role inside the same primary sponsor force a new D&A?

Not under Absolute Biomedical’s published “change primary sponsor + >12 weeks” wording. Role changes may still trigger medical review or company policy screens — ask your sponsor.

I failed to update Sentinel with my new sponsor — is that a D&A issue?

Sponsorship administration and D&A are related but not identical. Fix sponsorship paperwork with your companies; book D&A if the 12-week rule or sponsor policy requires it.

Next step

If you are changing primary sponsor and need a Sentinel-aligned drug and alcohol screen, contact Absolute Biomedical on 01443 303009 to book centre or on-site collection.

Worked examples (illustrative)

Example A — Last D&A eight weeks ago, new primary sponsor next Monday.

Under Absolute Biomedical’s FAQ wording, a new screen is not forced solely by the sponsor change because you are inside twelve weeks. Confirm the new sponsor’s induction policy anyway; some companies always require a fresh screen.

Example B — Last D&A sixteen weeks ago, transferring sponsors.

Book a new Network Rail D&A. Allow lab time before your first shift with the new sponsor. Check medical expiry in parallel.

Example C — Last D&A five weeks ago, medical expires next month.

You may not need D&A for the sponsor change under the 12-week rule, but you do need a medical renewal. Book the medical (and only add D&A if policy requires).

Documenting the decision

Sponsors should record: last D&A date, decision (re-test or not), who authorised it, and booking reference with Absolute Biomedical if a test was ordered. That audit trail prevents arguments when Sentinel or clients ask why a screen was or was not repeated.

Candidates between sponsors

If you are between primary sponsors, keep copies of appointment letters and ask outgoing/incoming companies who will fund any new screen. Absolute Biomedical can explain service options; commercial responsibility sits with the booking party.
